Launching a Call for Papers

The Call for Papers (CFP) module allows authors to submit abstracts, papers, or posters for review. You can configure it for single-track or multi-track events.

Setting Up Your CFP

  1. Navigate to your Event Dashboard.
  2. Go to Call For Papers.
  3. Click to Edit or Configure your CFP.

Key Configuration Areas

1. Workflow Type

Choose how your academic program is structured:
  • Single General CFP: Simple, one-track flow.
  • Multi-Track CFP: Allows authors to select specific Tracks (topics).
  • Special Issue / Thematic: Focused submission groups.

2. Submission Settings

Define exactly what authors can submit. You can enable multiple types:
  • Abstract: Text-based summary.
  • Full Paper: Complete PDF upload.
  • Poster: Visual display upload.
  • Workshop: Session proposal.
For each type, you can enforce constraint limits:
  • Min/Max Pages
  • Min/Max Words
  • Allowed File Formats (PDF, DOCX, etc.)
External Submissions: If you use an external system (like Microsoft CMT or EasyChair), enable “Use External Submission URL” to redirect authors while still listing your event on CallForPaper.

3. Important Dates

Deadlines are critical for managing the flow:
  • Submission Deadline (Required): The last date authors can submit.
  • Notification of Acceptance (Required): When authors will be notified.
  • Camera-Ready / Registration: Optional deadlines for accepted authors.

4. Content & Description

Use the AI Generator to instantly draft a professional CFP description based on your Title and Tracks.
  • Click Generate with AI in the Content tab to create succinct, academic copy.

5. Tracks (Topics)

If using “Multi-track,” add your specific topics here (e.g., “Machine Learning,” “Ethics”). Authors must select a track during submission.

Activating Your CFP

  1. Fill in all required fields.
  2. Go to the Meta / Status tab.
  3. Click Submit for Verification.
  4. Once verified, the CFP status changes to Active, and the submission form opens automatically based on your start date.

FAQ

Q: Can I change the Workflow Type later? A: Changing from Single to Multi-track is possible, but be careful if you already have submissions, as they may become unassigned. Q: What happens if I change the Submission Deadline? A: The form will automatically remain open (or reopen) until the new date is reached.
