Registration Settings

Configure how attendees register for your event, including pricing tiers based on deadlines, attendee categories, and optional extras.

Accessing Registration Settings

Open your Event Dashboard.

Navigate to Event SettingsRegistration.

Registration Types

Registration types define attendee categories with different access levels and pricing. Common examples include Author, Attendee, Student, or Industry Professional.

Adding a Registration Type

  1. Click Add Type in the Registration Types section.
  2. Fill in the details:
    • Name — Label shown to attendees (e.g., “Author”, “Student Attendee”)
    • Description — Brief explanation of what’s included
    • Requires Accepted Paper — Check if only authors with accepted papers can select this type
    • Visible — Toggle whether this type appears publicly
    • Allow Addons — Enable optional extras for this registration type
  3. Click Save.
Create separate types for authors and general attendees to enforce paper submission requirements.

Time Windows

Time windows enable deadline-based pricing, rewarding early registration with lower fees.

Adding a Time Window

  1. Click Add Window in the Time Windows section.
  2. Configure:
    • Name — Label like “Early Bird”, “Regular”, or “Late Registration”
    • Start Date — When this pricing period begins
    • End Date — When this pricing period ends
  3. Click Save.
Ensure time windows don’t overlap with the same priority, or the system will use the highest-priority active window.

Pricing Rules

Pricing rules connect registration types to time windows with specific fees. Each combination of type, window, and student status needs its own rule.

Creating a Pricing Rule

  1. Click Add Rule in the Pricing Rules section.
  2. Select:
    • Attendee Type — The registration type this price applies to
    • Time Window — The deadline period for this price
    • Student? — Check for student-discounted rates
    • Registration Fee — The amount in USD
  3. The rule saves automatically when you click Save Settings.

Each combination of Type + Window + Student status must be unique. Duplicates will show an error.

Addons

Addons are optional extras attendees can purchase during registration, such as workshop access, gala dinners, or printed proceedings.

Adding an Addon

  1. Click Add Addon in the Addons section.
  2. Configure:
    • Name — What the addon is (e.g., “Workshop Access”, “Conference Dinner”)
    • Price — Cost in USD (set to 0 for free addons)
    • Available To — Restrict to specific registration types or leave open for all
    • Capacity — Optional maximum number of slots
  3. Click Save.

Constraints & Policies

Paper Coverage Policy

Control how registrations relate to paper submissions:
  • One registration = One paper — Each author must register separately for each accepted paper
  • One registration = Multiple papers — A single registration covers multiple papers (set the maximum)

Camera-Ready Triggers

These options control when authors can upload final versions of their papers:

Refund & Cancellation Policy

Enter your event’s refund terms in the text area. A clear policy builds attendee confidence. Enable Allow Transfers if registered attendees can transfer their registration to another person.

Publishing Settings

Settings start in Draft status. When you click Save Settings, they become Published & Active and apply to your event registration page.

FAQ

Q: Can I change pricing after attendees have registered? A: Yes, but changes only affect new registrations. Existing registrations keep their original pricing. Q: How do I offer student discounts? A: Create pricing rules with the Student? checkbox enabled at a lower rate. Students select this option during registration. Q: What happens if no time window is active? A: Attendees see windows without date restrictions (like a “Standard” fallback) or no pricing if none match.
